Partner Terms

These terms apply to organisations using LinkRide’s partner portals — universities, employers and other bodies running a closed community, and promoters running events. They are between your organisation (“you”) and LinkRide Technologies LTD, a company registered in Scotland (company number SC872736), registered office 2/3, 48 West George Street, Glasgow, United Kingdom, G2 1BP.
The LinkRide Terms of Servicegovern the app itself and apply to your people as individual users. These terms govern your organisation’s relationship with us. Where we have signed a separate written agreement with you, that takes precedence.
1. Accounts and admins
We create partner accounts by invitation. Whoever accepts an invite can act for your organisation in the portal, and you are responsible for who you give that access to and what they do with it. Tell us promptly if someone with access leaves, and we will remove them.
You confirm you are authorised to enter into these terms on behalf of your organisation, and that the details you give us about it are accurate.
2. What you can see about your members
A community’s admins can see who is verified into it — name, rating, and the fact of membership — and the totals for the community as a whole. Admins cannot see members’ email addresses, phone numbers, payment details, locations, messages, or which particular trips any individual took.
You may use that information only to run and evaluate your travel scheme. Do not use it to market to your members, to build a list, or for anything a member would not expect from joining a lift-sharing community — and do not pass it to anyone outside your organisation.
For that information, you and LinkRide are each independent controllers under UK GDPR: we decide what we collect and show, you decide what you do with what you see. Each of us is responsible for our own compliance. The LinkRide privacy policy tells members this happens and how to opt out, which is by leaving the community.
3. Running a community
Approval is at our discretion, and so is continuing it. You are responsible for the accuracy of the email domains you claim — a domain determines who can join, so claiming one you do not control would let people into a community they have no business being in.
You may set your community’s name, logo and colour, and those appear in the app. You confirm you have the right to use the branding you upload, and you licence us to display it for that purpose. We may remove branding that is misleading, offensive, or not yours.
Members of a community are charged a reduced booking fee. Where we have agreed a particular rate with you, we will give at least 30 days’ notice before changing it.
A community is not a warranty. We verify that a member controls an email address at your organisation. We do not vet them further, and their being in your community is not a statement by either of us that they are safe to travel with. The verification badges on a profile say exactly what was checked, and nothing more.
4. Promoting an event
Event placements are prepaid. You add credit to a balance, and a boosted placement draws that balance down at the daily budget you set. Nothing is invoiced, nothing is charged after the fact, and you cannot overspend — if a balance runs out, the placement pauses.
- Top-ups are between £10 and £1,000, taken by Stripe at the moment you add them.
- Daily budgets are between £2 and £50 per day. The budget is the spend: a higher budget buys ordering against other boosted placements, not a different rate.
- You are buying placement, not performance. We do not guarantee impressions, taps, ticket sales or attendance, and spend is not refundable because an event sold fewer tickets than you hoped.
Unspent credit stays on your balance and does not expire. Ask us and we will refund an unspent balance to the original payment method, less any amount already delivered. We will not refund credit that has been spent on days a placement actually ran.
If we remove a placement for breaching these terms, the credit already spent on it is not refunded. If we remove one for our own reasons — a change to the product, an error at our end — we will refund the days not run.
5. Event content and ticketing
You are responsible for your event: that it is real, that it is lawful, that you have the right to run it, and that what you tell us about it is accurate. Placements must not be misleading, must not target under-18s with age-restricted content, and must not contain anything unlawful, discriminatory or explicit.
We review placements before they run and may decline or remove one at our discretion. Review is not endorsement, and does not transfer any responsibility for the event to us.
Where you connect a ticketing provider so that ticket holders can join your event’s community, you confirm you are authorised to connect that account and to have us check ticket holders against it. We check whether an order reference or email holds a valid ticket; we do not take payment for tickets, and we are not a party to the sale.
Tickets, refunds, cancellation and everything else about the event are between you and your attendees. If your event is cancelled, tell us so we can close the community.
6. Acceptable use
Do not scrape the portal, attempt to reach another organisation’s data, submit false information, or use LinkRide to run a taxi or private hire service. Do not use the LinkRide name or logo in your own materials beyond saying, accurately, that you partner with us.
7. Suspension and ending it
Either of us may end this at any time on written notice. We may suspend or remove a community or a placement immediately where we reasonably believe it breaches these terms, misleads people, or puts anyone at risk — and where it is safe and lawful, we will tell you why.
When a community closes, its members keep their LinkRide accounts and continue on the standard booking fee. Trips already booked go ahead. Any unspent event credit is refundable as set out above.
8. Liability
Neither of us excludes liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be excluded.
Subject to that, neither of us is liable for loss of profit, revenue, business, goodwill or anticipated savings, or for indirect or consequential loss. Each party’s total liability in any twelve-month period is limited to the greater of the amounts you paid us in that period and £5,000.
We are not a party to any journey taken through LinkRide and are not liable for how a trip is driven, who turns up, or how people behave towards one another — see the Terms of Service, which set out what LinkRide is and is not.
9. Changes
We may update these terms. Where a change materially affects you we will give at least 30 days’ notice, and you may end the arrangement before it takes effect. Minor changes take effect when published, with the date at the top updated.
10. Governing law
These terms are governed by the law of Scotland, and the Scottish courts have exclusive jurisdiction.
